London Youth Rowing (LYR) are recruiting for a part time Admin Manager, primarily supporting the Senior Management Team of 6 people with a range of administrative tasks, while also supporting the wider organisation, particularly around the delivery of events. 

The role

This role is ideal for someone who likes lists and enjoys being productive. The SMT work from several locations (even when not required by Covid restrictions) and a key part of this role will be to support the efficient operation of the team. The person who takes on this role will help to build an environment in which the SMT can be confident that tasks set will be handled in a confidential and professional manner.

Pay and Working Hours

This is a Part Time position (20 hours per week) with a salary in the range of £12,000-£13,000 per annum based on experience (circa £23k full time equivalent).

The working hours are Monday to Friday, typically 0900-1300 or equivalent to be agreed with your line manager. Days in lieu of working additional hours must be arranged and agreed with your managers.

You will typically be required to work from the LYR Head Office (Royal Docks Adventure, Newham, E16 2QT) from Tuesday to Thursday, and be able to work remotely on Monday and Friday each week.

Description of Role

Back of House

  • Engaging in data input into HR, Finance and CRM systems
  • Assisting with on-boarding and off-boarding of employees
  • Day to day contact with IT support and other service providers
  • Management of filing and documentation
  • Scheduling and supporting the running of Board meetings, Staff Meetings and staff training sessions, issuing of Agendas/Actions, setting up any IT provision required.
  • Scheduling meetings for SMT members, particularly with key external stakeholders
  • Follow up and report on outstanding actions from meetings.
  • Checking and proof-reading of documents
  • Managing the supply and distribution of clothing and equipment for all staff
  • Managing office space and supplies
  • Equipment auditing and organisation of upkeep.

Programme and Event Management Support

  • Help with resourcing a range of things, from booking of venue to ordering of equipment.
  • Coordinate scheduling
  • Organising travel arrangements

Front of House Comms Support

  • Manage shared LYR email inboxes.
  • Help manage communication with schools, including for example preparing and sending large group emails.
  • Answering the phone and directing enquiries to the appropriate person
  • Help maintain and update contact lists (LYR currently uses salesforce and mailchimp)
  • Support the LYR Communications Manager from time to time with basic social media duties, e.g., posting on twitter and Instagram and monitoring accounts for responses and direct messages.

Skills and Experience / Personal attributes

  • Experience of working as an administrative assistant for a senior management team
  • Experience of the charitable / youth development sectors a positive, but not essential
  • Excellent IT skills, particularly in using Office 365 and Excel
